The system is intended for use by the following users:

Authorisation

The Freight Forwarder has an Administration screen allowing him to add/amend/remove Shipping Agents and Importers access to PFETrack.

Importers and Shipping Agents apply to PFE to be added to the system. They are then given their authorisation Login and Password by telephone/mail/manual email.

Order Placement

The Importer is a wholesaler or importer in, say, Boston, USA. He is in contact with a factory in Taipei that produces T-shirts. He normally faxes or telephones his shipping request to PFE, but using PFETrack he accesses the website and on the appropriate page selects an option:
  1. Add Order
  2. Amend Order
  3. Track Order
  4. Reports

He selects Add Order.

He enters On 'submit' his order is e-mailed to the Shipping Agent and the Freight Forwarder (the latter for information).

or

He selects Amend Order.

He can change the details of a previously Added Order (e.g. the factory inform him the goods will not be ready for shipment on time), until the Actual Departure time, at which point we presume the boat has left! He can also cancel an order here.

Order Receipt

The Shipping Agent receives the Importers order by e-mail and sorts out the paperwork. He then accesses the system. His options are the same:
  1. Add Order (not greyed out as he CAN add an order)
  2. Amend Order
  3. Track Order
  4. Reports

On selecting Amend Order, the consignment details that the Importers put in are uneditable.

The Shipping Agent enters details of the vessel, the sailing date and arranges to have the shipment picked up from the factory and taken to the port on the due day (if these were the Shipping Terms).

He enters the ETD and ETA and hits 'submit'.

On submit, the details of the amended order are e-mailed to the Freight Forwarder (info only), the Importer (to show the order has received attention) and the Shipping Agent (confirm what he has done).

Order Tracking

Any change in the status of the Order is confirmed to the Importers, the Shipping Agent and the Freight Forwarder.

The Importers will want to check frequently, using Track order, that his shipment is on its way, and especially when the shipment arrives in Boston and is awaiting customs clearance.

The system will be housed with an ISP who will back up the data as instructed by PFE.
