1. Introduction

Keyhaven has been asked to prepare this quote following an initial meeting on 1 March 1999 between Keith Harper of Thomas Cooper & Stibbard, Tim Joyce of HOOP and Giles Thompson of Keyhaven International. This proposal details the structure, design and build aspects of the website and includes estimated costings for design and implementation. This proposal is based on a preliminary analysis of needs and can be reviewed if required.

2.1 General Design Considerations

TCS have recently redesigned their corporate identity, and have produced a new brochure. It is proposed that the website builds on the Corporate look already developed, which is perfect for a clean, clear website design.

TCS feel that scrolling significantly detracts from the usability of a web site. Page scrolling will therefor be kept to a minimum.

 

2.2 Home Page

This page will feature the Thomas Cooper & Stibbard Logo. It will have a navigation bar allowing access to all areas of the site. The home page will provide a space where items that are new or of particular interest can be highlighted.

The menu will provide links to the following pages:

 

2.3 Corporate Profile

This page form a brief introduction to TCS. It will contain a short history of the partnership, mention specialist services, and generally establish the partnership's credentials.

 

2.4 Services

This page will briefly outline the services offered by the partnership. All services will be listed on the same page with about one sentence describing each.

 

 

2.5 Clients

This page will list some of TCS's key clients, with links to their web sites. High profile cases undertaken for these clients will be listed.

 

 

2.6 Emergency Response

This page will describe TCS's emergency response service. It will provide brief CVs and photos for each member of the ER team.

A service will be offered where SMS messages can be sent to the ER team's mobiles. This service will be provided by a third party, probably www.esms.com, and integrated into the TCS website. The charges for this service are modest, at around $10 per month.

 

2.7 Press

This page will provide information to the press. It will be used to post articles that have appeared in Lloyds List and other shipping press. The press page can also be used to post late breaking news about major shipping incidents that TCS are handling.

 

2.8 The Team

This page will give CVs and pictures for all of the 16 partners.

 

2.9 Offices

This page will give details about TCs's offices in London, Athens and Singapore. It will describe the staff and services available from each.

 

2.10 Recruitment

This page will give details about TCS that are of particular interest to recent graduates.

To encourage graduates to contact TCS, a short profile of a recently recruited graduate will appear on the page. Interested students will then be able to contact the chosen person to ask questions about TCS informally.

This page will have a short form where graduates can fill out their details. These enquireies can then be kept on file for use when TCS are recruiting. An email address will also be given to allow CVs to be sent in.

 

 

2.11 Contact TCS

This page will allow visitors to contact TCS in a number of ways;

  • 'formatted' email, where visitors fill our a form to request TCS staff to contact them.
  • 'unformatted' email, will allow visitors to send email to individuals at TCS
  • Telephone numbers of relevant personnel
  • Fax numbers
  • Addresses of the offices
  • Maps of how to get to the offices

Additionally, we will encourage visitors to sign up to a TCS mailing lists, where they can be kept informed of new additions to the site and general TCS news.

 

2.12 Resources

This page provides an area where TCS can easily place links that would be useful to visitors to the site.

 

3. Other Considerations

3.1 Hosting

The site has no special hosting requirements, and so can be hosted by any ISP. TCS has an existing provider for email services, if TCS are happy with this ISP it is probably appropriate to continue to use them for Web Hosting services.

 

3.2 Domain Name Registration

TCS will use the domain name www.tcssol.com, which has already been registered.

 

3.3 Online Promotion

TCS are not especially interested in heavy online promotion of the site. They feel that it is enough to have an online presence and to promote the site 'off-line'. We therefor propose to undertake a minimum search engine submission.

 

3.5 Maintenance

It has been requested that the initial build of this site be low maintenance to avoid costly updates. The only area where updates on a continuing basis were considered necessary was in the press release section. It was estimated that there would be only one or two press releases and a similar number of articles per quarter. It is also understood that this basic work would take place in house by the IT department with initial guidance from Keyhaven.

More complex structural work will probably need to be done by Keyhaven, which will be quoted for on a job by job basis.

 

4. Estimates

The figures are provisional, and are subject to change following the agreement of the proposal. HOOP charge £40 per hour for Web Site development, giving a total cost for building the site of £3,400.

 

4.4 Online Promotion

Initial Search Engine push - as described in section 3.2 - £250.

 

5. Timescales

HOOP are very keen to take on this project and are ready to start as soon as we are given the go-ahead. It is anticipated that the site can be built in 4 weeks from start to launch.

The project will be developed online, this gives TCS staff the ability to monitor progress on a day-to-day basis.
