1. Introduction

This document has been written following a meeting between Ed Ross of Keyhaven International and Tim Joyce of HOOP. It is designed to set out the tasks involved in creating a website for Rapport, an International Security Agency. The site is designed to complement a marketing push that is headed by Rapport's new brochure, and will draw heavily from the brochure for both look and content. In addition Rapport prepare security reports for their clients, and need the ability to publish these reports in a password protected area.

A meeting has been arranged for Tim to meet Rapport on Wednesday 06/04/1998 at 10am, where we can hopefully present Rapport with a design concept.

 

2. Site Design

 

2.1 General Design Considerations

The site will follow the design of the brochure, which is being supplied on CD ROM. The wave graphic is designed to represent stormy times. Rapport like the 'globe' graphic, and feel that this would make a good background to the site. The logo needs to be used, but can be 'webified'. The brochure is 'dotted' with short quotes, these should be used on the site, possibly in the same place (but different or changing quotes) on each page.

The site will be split into 2 frames; menu on left, and main contents frame. I have shown Ed the xenocracy site, which he loved.

The original brief supplied to HOOP by Ed Ross specified a Site Map. For sites of this size it does not seem necessary, as the map would essentially duplicate the menu, and add very little to ease of navigation. Therefor the site map page has been omitted from this document.

 

2.2 Home Page

The home page will display the menu, and an introduction to Rapport. It will also give an instant feel for the information on other pages using short descriptions. The menu will contain links to the content pages:

The content for these pages will be taken directly from the brochure and will be supported by pictures used in the brochure

 

2.4 Security Reports

Rapport prepare security reports for their customers. These are confidential, and need to be published behind password protection. HOOP will publish 6 reports and add password protection as part of the initial site build. The reports will be supplied in word format, and will be published without sophisticated formatting.

 

2.5 Contact Us

This page will allow new clients to fill out a brief questionnaire form that will be emailed to the London Rapport team. It will also give details of Rapport's telephone number and address, and a link to allow unformatted email to be sent.

 

2.6 Links

This page will list links to online resources that may be valuable to Rapport's customers. It can also be used to exchange links with appropriate partners as part of Rapports online promotion.

 

3. Other Considerations

3.1 Web Space

Web space will be provided by Demon Internet. This has already been organized.

 

3.2 Promotion

The site will need to be promoted online. HOOP will register the site with the top 20 search engines, pages that list 'new sites', and specific search engines catering for companies in Rapport's area of interest. We cannot guarantee the results of these registrations, but we'll try our best. The nature of this site means that will be essentially used by Rapport's Clients, and people researching this specific area. It is therefor not felt that a broader promotional campaign will be of much benefit.

 

3.3 Maintenance

It is anticipated that the main maintenance task for this site will be to upload new Security Reports, and create passwords for new Clients. This should take no more than 2 hours per report. Additional maintenance tasks can be quoted for so that maintenance costs can be controlled.

5. Costs

The site will be built and launched for a fixed cost of £2500.00, all cost overruns (apart from in exceptional circumstances) will be borne by HOOP.
